Misunderstandings often come from mismatched pace or detail. A rapid-fire download overwhelms someone who needs reflection, while a drawn-out explanation irritates someone who wants quick results. Even emails reveal differences: a two-line reply may feel blunt to some, but a wall of text may feel exhausting to others. The right level of length and tone depends on the reader, not the sender. Equally important is creating safety. People listen best when they feel respected. Avoid public correction for greens, sloppy reasoning for blues, over-control for reds, or indifference for yellows.
